Mismatches between these documents are almost never dishonesty. They are what happens when each one is typed fresh in a different file, with the numbers carried across by eye.
What each one is for
Quote
A price before the work, with what is included and for how long the price holds. The second part is what stops a quote from 2024 being accepted in 2026.
Purchase order
The client's confirmation, with their own reference on it. For larger clients this is the number that gets your invoice paid.
Receipt
Proof that money arrived. Distinct from an invoice, which is a request — a distinction accounts departments care about more than anyone else.
Packing slip
What is physically in the box, without prices, because the person unpacking does not need them.
